D Wilson Agency
Executive Operations Management
Project Overview
From August through November 2024, I served as Executive Operations Manager for D Wilson Agency during a high-growth phase, designing and implementing operational systems that enabled the organization to scale efficiently while maintaining strategic alignment. D Wilson Agency needed someone who could build operational infrastructure quickly, manage cross-functional initiatives, and serve as strategic partner to leadership—transforming reactive operations into proactive systems.
Challenge
D Wilson Agency was experiencing the challenges that accompany rapid growth:
Operational Infrastructure Gaps: The organization had grown beyond its existing operational systems. What worked at smaller scale was creating bottlenecks and inefficiencies at current size.
Strategic vs. Tactical Misalignment: Leadership was spending time on operational execution that should have been focused on strategic priorities—client development, partnership cultivation, organizational vision.
Cross-Functional Coordination Challenges: Teams operated in silos without clear communication frameworks, creating duplicated effort, misaligned priorities, and execution gaps.
Process Inconsistency: Without documented workflows and standardized processes, quality and efficiency varied depending on who handled tasks, making organizational knowledge fragile and succession planning difficult.
Scaling Without Systems: The agency needed to grow without proportional increases in operational overhead—requiring smart systems design rather than just adding headcount.
The organization needed someone who could diagnose operational gaps, design systematic solutions, and implement frameworks without disrupting ongoing client work.
Strategic Approach
Operational Assessment & Strategy Design
I began with comprehensive operational assessment, examining workflows across departments, identifying bottlenecks and inefficiencies, analyzing communication patterns and coordination gaps, and understanding where leadership time was being consumed by operational rather than strategic work.
From this assessment, I designed operational strategy that prioritized high-impact improvements—focusing on changes that would create immediate efficiency gains while building foundation for sustainable scaling.
Workflow Optimization & Process Design
I built optimized workflows across core business functions:
Project Management: Established standardized project intake processes, milestone tracking systems, and stakeholder communication cadences that ensured consistent client experience and team alignment.
Team Coordination: Designed communication frameworks that kept distributed teams aligned without creating meeting overhead, including asynchronous update systems, decision-making protocols, and escalation pathways.
Resource Allocation: Created frameworks for strategic resource allocation, ensuring team capacity matched project demands and preventing burnout from unrealistic timelines.
Strategic Initiative Management
I managed key strategic initiatives from concept through completion:
Initiative Scoping: Worked with leadership to clearly define initiative objectives, success criteria, and resource requirements before commitment.
Cross-Functional Coordination: Brought together stakeholders from different departments, facilitated alignment on approach and timeline, and maintained momentum through execution.
Progress Tracking: Established visibility systems that kept leadership informed without requiring constant status meetings.
Execution Accountability: Ensured deliverables met quality standards and deadlines, identifying and resolving blockers before they derailed timelines.
Leadership Partnership & Strategic Translation
I served as operational partner to executive leadership:
Vision Translation: Took high-level strategic vision and created executable operational plans, breaking ambitious objectives into achievable milestones with clear ownership.
Operational Decision Support: Provided leadership with operational insights for strategic decision-making—capacity assessments, resource requirement analysis, timeline feasibility evaluation.
Proactive Problem-Solving: Identified operational challenges before they became crises, implementing solutions that kept the organization moving forward.
Communication Infrastructure Building
I created communication frameworks that maintained team alignment and organizational agility:
Information Flow Systems: Designed how information moved through the organization—what needed to be communicated, to whom, through what channels, and at what frequency.
Transparency Mechanisms: Built systems that made organizational priorities, project status, and decision rationale visible without requiring constant explanation.
Feedback Loops: Established mechanisms for teams to surface operational challenges and improvement opportunities, ensuring systems evolved based on real experience.
